Order Statuses reserving stock

This article explains how to configure order statuses to reserve products in Acendy, ensuring accurate stock management.

Selecting Which Order Statuses Reserve Products

After "Stock Management" is installed in the store, an extra option will appear in the setup of order statuses (Configuration > Settings > Order Status) called "Order Statuses That Reserve Products".

Reserving products means that products have been deducted from the online store's stock, but are still physically on the shelf in the warehouse because the order has not been processed yet.

Why Should Product Lines Be Reserved?

In short, all orders where the customer has placed an order, but the order is not completed (sent/invoiced) should reserve product lines. 

It is only when a customer receives the product and an invoice is created that the reservation should be removed, and the product deducted from stock.

Example of order statuses that should reserve products

All order statuses from when the order comes into the online store until the order is fully processed should reserve the products on the order. This can be, for example, Not Processed, Under Processing, Ready for Packing. As soon as the order status is changed to the status that completes the order, the reservation should be deleted. 

Order statuses that should not reserve products

Order statuses such as Cancelled, POS, Returned and Delivered/Sent should not reserve products as these order statuses indicate that the order is either completed or returned. 

Example

1: You receive an order in the online store. The standard order status for new orders is Not Processed. A reservation is automatically created on the product lines.

2: The next step for you is to process the order. The order status changes to Under Processing. The product lines are still marked as reserved since the order is still being processed by you.

3: When the order is packed, it should be sent to the customer. The order status changes to Sent and an invoice is created via, for example, Klarna. The reservation is now automatically removed as the order status Completed/Sent should not reserve products.
