Procurement assistant (basic)

The procurement assistant is a powerful tool that creates order proposals based on sales in periods, stock status, and active procurements. The assistant looks at your sales in a given period and suggests what you should buy based on current stock levels and that sales for the upcoming period are the same as the previous period.

Generating a report

Go to the procurement assistant through the side menu inside the procurement module: Tools > Logistics > Procurement & receipt: procurement assistant

Follow the steps below to generate a report:

  1. Select supplier:
    A report always starts with a supplier.
  2. Select one or more manufacturers (optional):
    After a supplier is selected, you can choose one, several, or all manufacturers associated with the supplier. If you do not select manufacturers, all products associated with the supplier will be included in the selection.
  3. Order status (optional):
    The choice of order status is optional and does not have to be included to generate the report.
    If you select order status, the report will be based on sales that are in that specific order status.
  4. From/to date:
    To generate a report, you must select the date period the report should be based on.
    Here it is possible to set the from/to date manually, or you can use predefined periods:
  5. Category selection (optional):
    With this you can choose to either only show products in specific categories, or exclude products from specific categories.
  6. Generate report:
    When the selections are made, click "Generate report" to start generation.

Nb! If there are no orders on the selected manufacturer in the selected date period, the report will be empty. You can then click on "Show all items" to see all items for the selected manufacturer.

Choices in the report

After a report has been generated, you get a number of choices and views.

  • Increase the order by (%):
    Increases the number to be ordered by the percentage set.
  • Exclude items from stock group: Pro +
    This option is available if your store has "Advanced stock management" enabled.
  • Adjust for available in procurement: Pro +
    If this is switched on, the "Number to be ordered" will be adjusted down by the number that is already available in procurement.
  • Show all items:
    Shows all items from the selected supplier and manufacturer(s).
    In the overview, first all items that have been sold in the date period will be displayed, then all items from the supplier/manufacturer without sales.
    The items without sales will have "N/A" in the field for "Sold in the period".

Display options (columns)

In the "More options" section, there is a button for display options. This allows you to expand the view with more choices.

  • Show note: Shows note on the product if it exists.
  • Show stock location: Shows stock location if set.
  • Hide items in stock: Hides all lines where the item has available stock.
  • Show art.no supplier: Shows the supplier's article number.
  • Show profit: Shows profit on each item line. Calculated based on the product's purchase price and sales price.
  • Show purchase price: Shows a column with the product's purchase price.

Download report

When the report is ready, it can be downloaded to CSV and XLSX.
These options can be found in the "Actions" menu at the top of the report.

With Pro +, the result from the report can be transferred directly to a new or existing purchase order and sent to the supplier.
