Change Customer — Move an order to another customer
With "Change Customer", you can move an existing order from one customer account to another. Use it when an order has ended up in the wrong account, for example, a duplicate account or an account created with a typo, and you need to link it to the correct customer.
This is a correction tool, not a way to rebuild an order. It updates which customer the order belongs to, and nothing else.
When you should use it
Use "Change Customer" when the order itself is correct, but it is linked to the wrong account:
- The order is registered to the wrong customer.
- The customer has multiple accounts that should be consolidated into the correct one.
- The order was linked to an account with a misspelled email, and the correct account already exists.
When you should not use it
The tool is intended for correcting minor registration errors. Do not use it when:
- The order actually belongs to a completely different person — it is not a correction, and it disrupts the history of both customers.
- The problem is incorrect shipping address or billing information — correct it directly on the order.
- The order needs major changes (items, prices, quantity) — Change Customer does not affect any of that.
How to use it
From order overview:
- Go to Orders and open the order overview.
- Find the desired order in the list.
- Click on (three dots) in the order's action column.Select
- Change customerThe page shows Current customer
- — name, email, and customer number — so you can confirm you are working with the correct order.Under New customer
- , search for and select the customer the order should belong to. You can search by name, email, or customer ID.Check the confirmation box to confirm that the change corrects an error and matches the original customer information.Click
- Change customer
From order details
- Click on "Tools" > "Change customer"
- Select new customer and click "Change customer"
You will be redirected back to the order with a confirmation that the customer has been updated.
The button Change customer is disabled until you have both selected a new customer and checked the confirmation box. This is intentional — it prevents unintended changes.
What happens when you change a customer?
- The order is linked to the new customer.
- The order appears on the new customer's customer card.
- The original link to the customer is removed.
What changes, and what doesn't
Change customer only replaces which account the order is linked to. Everything else on the order remains exactly as it was.
Will be changed | Remains unchanged |
|---|---|
The customer account the order belongs to | Invoice and delivery address |
The customer name displayed on the order | Order lines and quantity |
Prices and totals | |
Payment and invoice details |
Since the addresses and invoice details do not follow the new customer, the order continues to display the original delivery and invoice information. This is intentional — the tool assumes you are correcting which account an otherwise correct order belongs to, not rebuilding the order for a different person.
Important to know
- The change cannot be undone. There is no built-in way to reverse it, so be sure the new customer is correct before confirming.
- You are responsible for selecting the correct customer. The system saves the account you choose.
- Invoice and delivery information is not updated automatically. It remains as it was on the original order.
- Changing the customer can create problems with payment and invoicing. If a payment or invoice is already linked to the original customer, changing the order will not move it.
- Incorrect use can lead to errors in customer history, accounting, or documentation. Use it only for genuine corrections.
Discount codes and bonus points are not moved
Two things people often expect to follow the customer, but do not:
- Discount codes remain on the order. A discount already applied to the order remains exactly as it was. Changing the customer does not remove it, nor does it re-check if the new customer would have qualified for it — the discount belongs to the order, not the person.
- Bonus points remain on the original account. Points earned or used by the original customer on this order remain on that account. They are not transferred to the new customer, and nothing is recalculated, awarded, or withdrawn for any party.
If points need to go to the new customer's account, you must adjust that separately — moving the order does not do it for you.
Things that stop you
A couple of checks run when you submit:
- You must select a customer. If you click Change Customer without having selected one, you will be asked to select a customer first.
- You cannot move to the same customer. If you select the customer already on the order, you will receive an error message stating that the selected customer is the same as the current one.
Unsure if you should make the change?
If you are unsure, do not make the change. Contact customer service first, and include:
- Order number
- What is wrong
- What you wish to achieve
Tips
- Double-check the customer number on the match under New Customer before confirming, especially when two accounts have similar names or email addresses. The number is the reliable way to distinguish duplicates.
- If you also need to correct the shipping or billing address after moving the order, do so directly on the order afterwards — Change Customer does not retrieve the new customer's saved addresses.
