This article explains how to create a new offer in Acendy, including selecting a customer, adding recipients, and providing additional information.

From the offer overview, there are two ways to create a new offer:

  • Click "Nytt tilbud" in the sidebar on the left.
  • Click "Nytt tilbud" on the right at the top.

Select customer

To create a new offer, you must first select a customer. Once a customer is selected, the offer will be automatically saved.

Click "Click to select customer" to open the search field. From here, search for the customer's name, customer number, or email.

When you have found the correct customer, click "Select" to select the customer.

Switch customer

Even after an offer has been created, it is possible to change the customer.

Click the icon to the right of the customer's name and repeat the process above to find the customer.

Receivers

By default, the email address registered on the customer card is used.

You can also add an alternative email address, which replaces the email address on the customer card, or add multiple recipients.

Alternative e-mail recipient

After the alternative email recipient is activated (1), the button turns green and the text field (2) becomes available.

Multiple recipients

If multiple people want to receive the offer, you can simply click on + Flere mottakere to add the email addresses you want.

This opens a new window where you can add extra email addresses.

Enter the email address and click the plus sign. This adds the email address to the list of recipients.

If you want to remove an address, click the trash can icon.

Ps! Multiple recipients can be used both with and without an alternative email recipient.

The area is divided into 3 pages/tabs:

  3. Historikk

Information

In this tab, you can enter more information about the offer. Some fields are required to send the offer, while others are optional.

  • Expiration date:
    This must be selected before you can send the offer. You are free to choose when an expiration date should be as long as it is after the date of creation.
    Ps! If an offer has the status "Sendt" and is not accepted by the expiration date, it will automatically be set to "Utløpt".
  • Payment:
    Payment method is required and must be selected before an offer can be sent. The choices shown here are the same as those set up in your store.
    Ps! After acceptance, an offer is transferred to a manual order. This means that you only have the same payment methods as on manual orders. It is not possible to pay for an offer via checkout in frontend.
  • Conditions:
    Optional field. Here you can fill in if there are special conditions for the offer. For example, conditions about duration, payment, etc.
    Conditions are displayed on the PDF that is sent to the customer.
  • Reference:
    Optional field. Here you can add a reference for your own part, or if the customer has a special reference number they want to use.
    Reference is displayed on the PDF that is sent to the customer.

Comments

Add comments to the offer. You choose whether they should be shown to the customer or not.

Comments can be added even after an offer has been sent.

  • Comment:
    Enter the desired comment.
  • Show to customer?
    If this is turned on, the comment will be displayed on the PDF that is sent to the customer. If the choice is not turned on, the comment will only be visible internally. This choice can be changed after the comment has been added.
  • Add button:
    Add the comment.

History

The history shows important events on an offer, when the event was performed, and who performed it.

Events shown here include:

  • Offer created
  • Offer sent to customer
  • Offer rejected
  • Offer reopened
  • Offer accepted
  • A new order created, with link to order

Attachments

Attachments are perfect if you want to send extra pictures, user manuals, etc.

Just open the tab for attachments and drag in (or click to select) the file you want to attach. The file(s) will then be attached along with the offer in the email to the customer.

If you do not want to send the attachment, you can easily delete it by clicking "Slett".

The offer module supports the following file types as attachments:

  • png
  • jpg
  • jpeg
  • doc
  • docx
  • csv
  • xls
  • xlsx
  • pdf
  • txt
