Actions on a customer

The Actions menu gathers everything you can do with a customer: register an order, view history, log in as the customer, retrieve data for an access request, or delete the account.

You can find it in two places, with the same content:

  • On the customer card, under Actions at the top right
  • In the customer overview, on the button with three dots all the way to the right on the row

Create order

Starts a new order with the customer pre-filled

View orders

The order list filtered by this customer

View shopping cart

Shows what the customer currently has in the cart

Purchased products

All products the customer has purchased, with date, price, and order number

Create offer

Starts an offer for the customer. Requires the offer module

View shopping cart is useful in customer dialogue: if the customer calls and asks about something they've put in the cart, you see the same as them. A cart that remains untouched can also be a hint that something stopped at checkout.

Send email

Opens a new message to the customer with the address pre-filled. The message is sent from the store and placed in the Inbox in the control panel, so that you and your colleagues can see the dialogue afterwards.


Edit consents

Shows the consents the customer has given — what they have approved and when. From here, you can change them, for example, if the customer requests to be withdrawn from something by phone.


Log in as customer

Opens the store in a new tab, logged in as the customer. You will then see exactly what the customer sees: prices, customer club benefits, order history, and what is in the cart.

Invaluable when a customer reports that "the price is wrong" or "I can't add the item to the cart" — most such cases are due to customer group, club membership, or stock status, and you can see it immediately from the customer's own perspective.

Be aware that you are logged in as the customer. If you add something to the cart, it will be in the customer's cart. Access lasts for two hours, and who used it will be logged.


Download GDPR export

Creates a PDF with all personal data the store has about the customer. Use it when the customer requests access to their own data.

The file is generated immediately — it takes a few seconds, and the button shows "Generating.." while it works. The report contains:

  • Personal details and addresses
  • Orders, with products, variants, prices, and status
  • Pre-orders and recurring orders
  • Shopping cart and cart reminders
  • Consents
  • Bonus point history and reseller group
  • Low stock alerts
  • Messages and reviews

This is a different export than Export customer data in the customer overview. The GDPR export is everything about one customer in a PDF intended to be sent to the customer. The customer data export is a CSV with many customers and the columns you have selected, intended for analysis and lists.


Delete customer

Deleting the customer account. You will receive a confirmation first, and the action cannot be undone.

This happens:

  • The customer account is removed, along with addresses and account statistics
  • The customer's orders remain. Orders retain name, address, and product lines as they were when the order was placed, so accounting and order history remain intact
  • The deletion is logged in the System Log, with who deleted it and when

If you also want to remove the orders, they must be deleted individually from the order list.

If you want to delete multiple customers at once, select them in the customer overview and use Delete selected under Actions.


Tips

  • The cash customer from the POS cannot be edited or deleted. It is a technical placeholder for cash sales, not a person.
  • If you are unsure whether an account is a duplicate, compare Purchased products on both. If only one of them has history, the choice is simple.
  • If an order is to be moved from a duplicate to the correct account, use Change customer on the order instead of deleting anything.
