Pre-Sales from Purchase Orders

This article explains how to use the pre-sales feature to control the number of items from a purchase order that can be sold before the order is received.

This feature requires plan Pro / Pro +.

Pre-Sales

Pre-sales is a feature that allows you to set how many of a ordered quantity that should be available for pre-sale before the purchase order is received.

For example, you have ordered 100 items of a product but only want to pre-sell 50 of these.
With pre-sales, you can specify on each product line in a purchase order how many should be sold and what should happen when the quantity is reached.

Pre-sales is based on the reservations linked to a product line on procurement, so you define the pre-sale based on the maximum number of reservations.

What is required?
To use pre-sales, two things are required:

  1. The store must have "Advanced Stock Management"
  2. The store must allow overselling
  3. The manufacturer must have Reserve in purchase order set to Automatic (on)

How does it work?

After an order is sent, a column for "Pre-sale" will appear.
From here, you can quickly adjust the product by clicking on the pen or select several/all products using the check box and then select "Customize pre-sale" in the Actions menu.

Note! If you choose to set pre-sales on multiple products at the same time, you will not be able to set maximum reservations, as the ordered quantity will be set as maximum reservations.

  1. Update stock group on the main product upon activation (optional)
    This option allows you to change the stock group that is active on the product directly from the procurement module. For example, the product may have a stock group that does not support overselling until you choose to activate pre-sales and then change to a stock group that supports overselling.
  2. Set maximum number of reservations
    How many of the ordered items do you want to allow to be reserved? Here you can set from 1 up to the ordered quantity.
    If you are mass processing items and setting pre-sales for multiple items at the same time, this field is disabled.
  3. Switch to stock group when maximum reservations are reached
    What should happen when the maximum number of reservations is reached? The most common thing to do is to change to a stock group that does not support overselling, so that you do not get more orders for the item.
    Note: Stock groups are only on the main product. If you have pre-sales of variants, you must either change the stock group on the main product (which affects all variants) or hide the variant with the check box below,
  4. Change stock group upon receipt
    With this, you can choose to change the stock group when the goods are received. The stock group will only change when all goods are received. That is, the stock group does not change if you only partially receive an item. It only changes when all of an item are received and there is 0 remaining.
  5. Save/cancel
    Buttons to save or cancel
  6. Activate pre-sales
    This must be activated before the rules take effect. It also means that you can work with the setup over time before you finally activate it via the switch.

Note!

The shopping cart in the online store does not "know" how many reservations are available before the order is placed. If you have 1 reservation available and a customer orders 2 (or more) of the same item, the entire order will go through before the stock group changes. Everything above the one reservation will then be placed on a new purchase order so that pre-sales does not increase and it will be easier for the order processor to pick up the overselling.
