Filters and basis in the trend report
The filters are located in the toolbar above the table. Some of them only change which rows you see. Two of them change the numbers themselves — and they are worth understanding before you compare the report with anything else.
The filters
Filter | Option | Effect |
|---|---|---|
Sales channel | All channels, Online store, POS | Limits the numbers to one channel |
Include return rows | Off / On | Subtracts returns from revenue and quantity |
Show excl. VAT | Off / On | Switches between prices with and without VAT |
Minimum units sold | No minimum, At least 10, At least 50, At least 100 | Hides rows with low volume |
Manufacturer | All, or one manufacturer | Shows only products from that brand |
Supplier | All, or one supplier | Shows only products from that supplier |
Manufacturer and Supplier are only shown on the product view, and only in stores that have the supplier function activated.
Sales channel
If you sell both in the online store and over the counter, they are initially mixed. Separate them when you suspect a change comes from only one of them — a category can well grow in-store and fall online simultaneously, and the total hides both movements.
The basis: VAT and returns
These two determine what a monetary amount in the report means.
Show excl. VAT shows the revenue without VAT. If you are comparing with the accounting, this is usually the view you want.
Include return rows subtracts returned items. Without it, you see what was sold; with it, you see what was kept. In a store with many returns, the difference is large enough to change which category tops the list.
The basis you have chosen is displayed as a badge on the detail page, so you can always see which view the numbers in front of you are calculated on.
If you compare the trend report with another report and the numbers don't match, these two switches are the first thing you should check.
Minimum units sold
The product list in a store with many item numbers is long, and there are many rows with one or two sales. They give enormous percentages and no insight. This filter hides them.
The filter looks at the highest of the two periods, not just the one you are currently in. This is intentional: a category that sold 40 units last year and none this year is probably the most interesting row on the page, and a limit that only measured the current period would have excluded it.
Manufacturer and supplier
The two filters are located on the product view and allow you to see the trend for one brand or one supplier. The columns Manufacturer and Supplier are included in the table and in the export, so you can also sort by them.
Supplier is calculated in the same way as in the Purchased Products report: we use the product's own supplier if it is set, and otherwise the suppliers linked to the brand. The two reports are built to be reconcilable with each other, so they must respond similarly to who supplies an item.
If your store does not have the supplier function enabled, neither the filters nor the columns will be available. In that case, there is nothing to filter by.
How the filters relate to the rest
- Export follows the filters. The CSV file will have the filters, search term, and period you had on the screen. It is not a dump of everything.
- The detailed view follows the filters. If you click Details on a row, the basis is inherited, so that the key figures and order list there match the row you clicked on.
- The back button remembers. If you go back from a detailed view, you will return to the same view you left.
Tips
- Determine the basis first (VAT and returns), then filter. This way, you avoid evaluating rows on one basis and concluding on another.
- If you are sharing a number with someone else, include the basis on which it was calculated. 'Revenue excl. VAT, returns included' is a completely different number than the same row without the two toggles.
- If you are following up with a supplier, filter by the supplier and sort by revenue change. This way, you see what has actually decreased for them, not just what sells the most.
