Customer Overview

The customer overview is the list of all customers in your store. Here you can find a customer, narrow down the list with filters, save frequently used views, and export customer data to CSV.

You can find it under Orders/Customers > Customers

The search field searches through these fields simultaneously:

  • First name
  • Last name
  • Email address
  • Phone number
  • Customer number
  • Company name

If you type multiple words, each word must match at least one of the fields. If you search for kalle klovn, you will find the customer named Kalle Klovn — but also Kalle at the company Klovn AS. This allows you to combine first and last names, or name and company, without having to consider which field the value is in.

You don't need wildcards. The search matches parts of a word, so klov finds both «Klovn» and «Klovnesen».

Filters

Click Filter to narrow down the list. The filters you get depend on the services your store has.

Active filters are displayed as clickable tags above the list, so you can see what is enabled. The filters are part of the page's URL — if you bookmark the page, or send the link to a colleague, you will return to the same selection.

Columns

Click Columns to select what the list displays. In addition to name, email, and phone, you can also retrieve:

  • Orders, open orders, and total order value
  • Logins, last login, and last modified
  • Customer since
  • Company name and location
  • Marketing and subscribed product notifications
  • Customer group, bonus points, and account manager, where the store offers these services

You can drag the columns into your desired order, and you can sort most of them by clicking on the column header. The list is sorted by customer number with the newest first until you choose otherwise.

The column selection is included in the CSV export. If you want specific fields in an export, bring them up as columns first.

Saved views

A view remembers filters, sorting, and column layout under one name. Practical for selections you retrieve regularly — "Customers without orders", "Business customers in Oslo", "Newsletter recipients last year".

Save a view

  1. Set up the list as you want it: filters, sorting, and columns.
  2. Click the save button in the filter bar.
  3. Give the view a name, or save over an existing view.

Use and manage views

Your views are located in the Views-menu above the list. There you can open a view, rename it, duplicate it, set it as the default view, or delete it.

If you set a view as default, that's the one you'll see when you open the customer overview. If you mark a view as a favorite, it will appear under Custom Views in the left menu, so you can go directly to it.

Views are personal — you see your own, and the ones you create do not disturb your colleagues.

Open and edit a customer

Click anywhere on a row to open the customer card. It contains contact information, company details, statistics, and actions. See Customer Card for details.

The three-dot button on the far right of the row opens an action menu with the same options you find on the customer card — create order, view orders, purchased products, send email, log in as customer, and more. See Actions on a Customer

Delete multiple customers

  1. Select the customers in the list.
  2. Open Actions in the top right.
  3. Select Delete selected and confirm.

Deletion cannot be undone. The customer's orders will remain — it is the customer account with contact and address information that is removed. The deletion is logged in the System Log.

Export customer data

The export runs in the background, so you can continue working while it is being created. You will receive a CSV file with the columns and selection you have on screen.

  1. Set filters, search, and columns as you want the export.
  2. Open Actions and select Export customer dataYou will be sent to
  3. Export Archive, where the export will show as «Processing» with a progress indicator.When the status is «Ready», click the download icon.

Large exports require confirmation first, as they take some time. If an export fails, you can restart it from the archive with the same selection — you don't need to set up the filters again.

The Export Archive is personal: you see and download your own exports. You can find it under Customers > Export Archive

If you need all data about a single customer — for example, for a data access request — use the GDPR export on the customer card instead. It is described in Actions on a customer

Tips

  • The customer overview does not show the cash customer from the POS system. It is a technical placeholder for cash sales, not a person, and cannot be edited or deleted.
  • If you have built a selection you want to share, copy the address from the browser. Filters, search, and sorting are included in the link.
