New offer

From the offer overview, you have two options for creating a new offer:

  1. Click on "New offer" in the side menu on the left
  2. Click on "New offer" in the right corner of the top


Select customer

To create a new offer, you must first select a customer. When the customer is selected, autosave starts the offer.
Click "Tap to select customer" to open the search bar. From here, search by customer name, customer number, or email.

When you have found the right customer, click "Select" to select the customer.

Change customer

Even after an offer is created it is possible to change the customer.
Click on the icon to the right of the customer's name and repeat the process above to find the customer.

Recipients

By default, the e-mail address registered on the customer card is used.
You can also add an alternative e-mail address, which replaces the e-mail address on the customer card, or add more recipients.

Alternate mail recipient

After alternate mail recipient is enabled (1), the button becomes green and the text field (2) becomes available.

 

Multiple recipients

Maybe there are more people who want to receive the offer, then you can easily click + More recipients to add the email addresses you want.


This will open a new window where you can add additional email addresses.

Enter the email address and click the plus sign. This adds the email address to the list of recipients.

To remove an address, click the trash can icon.

PS! Multiple recipients can be used both with and without alternate mail recipient.

More information

The "More Information" area contains a number of details, options and information.
The area is divided into 3 pages/tabs:

  1. Information
  2. Comments
  3. History

Information

In this tab, you can enter more information about the offer. Some fields are required to send the quotation, while other fields are optional.

  • Expiration date:
    This must be selected before you can send the offer. One chooses freely when an expiration date should be as long as it is after the date of creation.
    PS! If an offer has a status of "Sent" and is not accepted by the expiry date, it will automatically be set to "Expired".
  • Payment:
    Payment method is required and must be selected before an offer can be sent. The options shown here are the same as those listed in your store.
    PS! After acceptance, an offer is transferred to a manual order. This means that you only have the same payment methods as on manual orders. It is not possible to settle an offer via checkout in the frontend.
  • Conditions:
    Optional field. Here you can fill in if there are special conditions to the offer. E.g. conditions regarding duration, payment etc.
    Conditions are displayed on the PDF sent to the customer. 
  • Reference:
    Optional field. Here you can add a reference for your own sake, or if the customer has a special reference number they want to use.
    Reference appears on the PDF sent to the customer. 

Comments

Post comments on offers. You choose whether they should be shown to the customer or not.
Comments can be posted even after an offer has been submitted.

  • Comment:
    Type the desired comment.
  • Show to customer? 
    If this is turned on, the comment will appear on the PDF sent to the customer. If the election is not turned on, the comment will only be visible internally. This option can be changed after the comment is added.
  • Plus button:
    Post your comment.

History

The history shows important events on a quote, when the event was performed, and who performed it.

Events shown here include:

  • Offer created
  • Offer sent to customer
  • Offer declined
  • Offers reopened
  • Offer accepted
  • A new order created, with link to order

Attachment

Attachments are perfect if you want to send extra pictures, user manuals, etc.
Just open the attachments tab and drag in (or click to select) the file you want to attach. The file(s) will then be enclosed with the offer in an e-mail to the customer.

If you do not want to send with the attachment, you can easily delete it by clicking "Delete".

The quotation module supports the following file types as attachments:

  • .png
  • .jpg
  • .jpeg
  • .doc
  • .docx
  • .csv
  • .xls
  • .xlsx
  • .pdf
  • .txt
